Urgent Care

Challenge

With rapid expansion and new partnerships, the need for a scalable and strategic IT foundation became critical for an organization operating hundreds of urgent care centers and collaborating with more than a dozen health systems. Not unlike other organizations navigating significant change, they faced: Fragmented systems across joint venture partners, lack of centralized governance, and cybersecurity vulnerabilities in identity management.

Results

To support aggressive growth and ensure secure, scalable operations, the organization partnered with CereCore to assess its IT landscape and align infrastructure, governance, and technology stack with its mission to deliver high-quality, accessible care. This collaboration enabled the launch of virtual behavioral health services, upgrades to HR and finance systems, cost avoidance of approximately $1M through modernized provisioning, and streamlined infrastructure for greater scalability and security.

About the Provider

This urgent care organization is recognized for its innovative approach to both in-person and virtual care through strategic partnerships with major health systems. It has earned industry recognition for digital expansion, including the successful launch of virtual behavioral health services with high user satisfaction ratings. Continued rollout of digital care solutions has significantly increased patient access nationwide, distinguishing the organization as a leader in forward-thinking, patient-centered care.

Conquering Rapid Growth and Patient Needs

The collaboration began with a comprehensive IT assessment that revealed opportunities to align internal processes, enhance patient experiences, and support new service lines. From this assessment, leadership prioritized upgrades to HR and finance systems, the launch of virtual behavioral health services, and a redesign of relevant governance and infrastructure to better support strategic initiatives.

CereCore helped formalize governance frameworks and application redesigns that aligned with the culture and outsourcing strategies. This included developing enterprise project management deliverables, decision support tools, and scope-defining questionnaires for joint venture behavioral health initiatives. These foundational efforts enabled them to better manage change, prioritize projects, and prepare for future growth.

The partnership also focused on improving employee engagement through enhanced onboarding workflows and access management. By streamlining provisioning systems and redesigning infrastructure components, they established the groundwork for a more secure and efficient IT environment.

Epic Revenue Cycle and Workflow Optimization

CereCore conducted a comprehensive revenue cycle and Epic workflow assessment across all operational areas—from charge capture and coding to collections and training. By fostering collaboration between clinicians, operations, and IT, the engagement ensured improvements were integrated across departments. This approach equipped the organization to make strategic decisions about people, processes, and technology that drive long-term success.

Key Outcomes:

Uncovered missed revenue opportunities through analysis of downstream financial reporting systems.

Delivered a roadmap with operational, system, and functional recommendations.

Identified 13 technical opportunity areas and prioritized four key reports to improve workflows and decision-making with Epic EHR.

Provided insights into staffing models and automation strategies to streamline operations and enhance patient billing experiences.

Strengthening Cybersecurity and Governance for Scalable Growth

Cybersecurity and governance were at the core of the organization’s modernization strategy. CereCore redesigned critical infrastructure components and remediated vulnerabilities to improve both user experience and security posture. The team restructured provisioning workflows, cleaned up security mapping, and documented new policies to ensure compliance and adoption.

A major milestone was the transition of 10,000 users to a new identity management system, avoiding an estimated $1M in costs tied to manual provisioning processes. This initiative also improved onboarding and access controls, laying the foundation for future SailPoint implementation and a configuration management database.

Additional highlights include:

  • Application rationalization and automation strategies to consolidate systems and optimize resources
  • Launch of an enterprise-wide intranet using SharePoint, saving thousands in implementation costs and supporting Workday pre-go-live communications
  • Establishment of governance frameworks to manage IT initiatives, prioritize projects, and align resources—ensuring processes were modernized, resilient, and scalable

Finally, governance frameworks were established to manage IT initiatives, prioritize projects, and align resources—ensuring processes were modernized, resilient, and scalable.
